Why does the Members-Only menu tell me I'm not registered for the Annual Meeting, when I know I have registered? |
| |
| |
| | Because Annual Meeting registration is handled by a third party (Experient, formerly called Conferon), the registration list must be compared with the records in our database.
If your registration status is not properly displayed, the explanation may be as simple as us not having received an update since your registration was submitted. The data are usually downloaded weekly (typically on Monday), but staff illness or urgent issue may throw off this schedule.
Another explanation may arise in the correlation of the Experient data with the AAR membership records. To correlate the records, we compare in the following ways:
- Looking for a match of last name, first name, and e-mail address.
- Looking for a match by member ID.
If you are in this situation, then there is probably no cause for concern (assuming you have your registration confirmation, of course). But if you wish to confirm your registration, you can always contact Experient at aarreg@experient-inc.com or 1-800-575-7185.
If it is important to you that this information appear accurately on the AAR website, you can change the first name in your registration record through Experient or you can update your name with the AAR so that it matches the Experient records.

Why can't more time be allowed after the Annual Meeting to submit next year's Call for Papers? |
| |
| |
| | AAR's tight schedule allows for ideas that percolate to the surface at the Annual Meeting to get onto the program at next year's Annual meeting. To make this possible and still get next years Program Book into member's hands by the following September, we must follow a very tight schedule.
In our process, the Program Committee meets in mid-December to review the next year's Calls for Papers and to approve new and renewed program units for the following year.

| |
| | The deadline for submitting proposals from the Call for Papers is set at February 25 of the meeting year because of the other deadlines which must be maintained to ensure that members receive the Program Planner in time to make decisions and plans for attending. | |

Why can't a session on __________ be included on the program? |
| |
| |
| | Sessions get on the program in four basic ways:
- They are wild card sessions, or sessions on a subject outside the program unit structure;
- They are mounted by one of the program units;
- They are organized by an AAR Committee; or
- They are special plenary sessions arranged by the president.
Meetings can also be scheduled to run concurrently with the Annual Meeting, though they aren't considered part of the "official" Annual Meeting. Please see Additional Meetings for more information.

Why do sessions with similar themes get scheduled against one another during the meeting? |
19. |
Why do sessions with similar themes get scheduled against one another during the meeting? |
| |
| |
| | There are only ten session slots into which sessions can be scheduled during the Annual Meeting (3 sessions on Saturday, 4 on Sunday, and 3 on Monday).
We strive to minimize overlap between sessions with similar themes – but with over 100 program units, some with up to 7 sessions, scheduling conflicts are sometimes unavoidable.

20. |
Why do sessions for the same program unit, scheduled for adjacent time slots, sometimes have to change rooms? |
| |
| |
| | The meeting planners assign rooms based on a variety of considerations – notably anticipated attendance and AV requests. Because of these concerns, they are not always able to schedule a program unit's sessions for adjacent time slots in the same meeting room. | |

| | Yes, depending on what country you're coming from, you may need to allow several months to get a visa for travel to the USA. Visit UnitedStatesVisas.gov for the latest information on visas and whether or not you're required to have one. Also http://www.state.gov/ is the general website for the US State Department.
